1.0 Purpose and Scope

This Acceptable Use Policy sets out the standards that apply when using Flowly. It is designed to protect the platform, customer data, user accounts and the wider service environment by making clear what is and is not acceptable when accessing or using Flowly.

The policy applies to all users of Flowly, including account owners, administrators, invited team members, collaborators, contractors, suppliers and any other person who is given access to the platform or a customer workspace.

Users are expected to use Flowly lawfully, responsibly and in a way that does not create risk for Flowly, other users, customer information or connected services. This includes using the platform only for authorised business purposes and in accordance with Flowly’s Terms of Service and related policies.

This policy applies to use of Flowly’s website, platform, workspaces, account features, communication tools, uploaded materials, project records and any other function made available through the service.

Where Flowly is used by a business or organisation, the account owner is responsible for ensuring that users invited to the workspace understand and comply with this policy.

2.0 General Use Principles

Users must use Flowly responsibly, professionally and in accordance with this Acceptable Use Policy. By accessing or using the platform, users agree to follow this policy and understand that a breach may result in account restrictions, suspension, removal of content or other action under Flowly’s Terms of Service.

Users are responsible for their own activity on the platform and must not use Flowly in a way that is unlawful, harmful, misleading or likely to compromise the security, availability or reputation of the service. Flowly must only be used for legitimate business or professional purposes connected with the user’s account or workspace.

Users must handle information, uploaded materials and workspace content in line with Flowly’s applicable policies, including the Terms of Service, Privacy Policy, Security Policy and Data Retention and Deletion Policy.

Any suspected breach of this policy, misuse of the platform, unauthorised access or security concern should be reported to Flowly promptly using the appropriate support or contact route.

Flowly may monitor use of the platform where this is necessary to maintain security, investigate misuse, enforce this policy or protect the service and its users.

Where Flowly is used by a business or organisation, the account owner is responsible for ensuring that invited users understand their responsibilities and use the platform appropriately.

3.0 User Accounts and Passwords

Users must keep their Flowly account details secure and must not allow unauthorised persons to access the platform through their account.

Passwords should be strong, unique and stored securely. Where a password manager is used, the master password must also be protected and must not be shared with others.

Users must not log in using another person’s account or allow another person to use their own login details. Each user should access Flowly through their own authorised account so activity can be properly managed and attributed.

Users should log out or lock their device when leaving it unattended, particularly where the device is being used to access Flowly, customer workspaces or uploaded materials.

Where a user believes their account details have been compromised, or that another person has accessed their account without permission, they must notify Flowly promptly using the appropriate support or contact route.

4.0 Information Handling and Workspace Content

Users must handle information within Flowly responsibly and only access, use or share content where they have a legitimate reason to do so.

Workspace content, uploaded materials and personal data must be used only for the purposes connected with the relevant account, project or business activity. Users must not access, amend, delete, copy or share another person’s content unless they are authorised to do so.

Users must take care when sharing information through Flowly, particularly where content includes personal data, confidential business information or third-party materials. Information should not be disclosed to anyone whose identity or authority has not been properly confirmed.

Users are responsible for making sure that any information they add to Flowly is lawful, appropriate and relevant to their use of the platform. Where information is no longer needed, users should manage or remove it in accordance with their own business requirements and Flowly’s applicable policies.

Flowly must not be used to gain unauthorised access to another user’s workspace, content, messages, files or account information. Users must not attempt to interfere with, damage, delete or misuse information held within the platform.

5.0 Personal and Non-Business Use

Flowly is intended for business and professional use. Users are personally responsible for their activity on the platform and must ensure that any use of Flowly is lawful, appropriate and consistent with this policy.

Flowly must not be used to store, share or distribute personal content that is unrelated to the user’s legitimate use of the platform, particularly where that content could affect platform performance, breach another person’s rights or create legal, security or reputational risk.

Users must not use Flowly to upload, transmit or promote material that is offensive, abusive, obscene, harassing, discriminatory, malicious or otherwise unlawful. The platform must also not be used for gambling, fraudulent activity, unauthorised campaigning, or any activity that is unrelated to the intended use of the service and may compromise Flowly, its users or third parties.

Users must not use Flowly to provide unauthorised statements, commitments or representations on behalf of Flowly. Any communication made through the platform remains the responsibility of the user or the organisation they represent.

Flowly is not responsible for any loss, damage or inconvenience caused by a user’s personal or unauthorised use of the platform. Where personal or non-business use creates risk, Flowly may restrict access, remove content or take other action under its Terms of Service.

6.0 Platform Communications

Users must communicate through Flowly in a professional and appropriate manner. Messages, comments, review notes and other communications must not contain threatening, abusive, discriminatory, obscene or otherwise unlawful material.

Users must not use Flowly to send spam, misleading messages or communications that falsely appear to come from another person or organisation. Users must also not alter or misuse another person’s content, messages or approvals in a way that could mislead others.

Users should take care when responding to requests for information, access, payment changes or account updates. Where a request appears suspicious, unusual or unauthorised, users should verify it before taking action.

Flowly must not be used to impersonate another user, misuse signatures, misrepresent authority or create communications that could reasonably be understood as fraudulent, deceptive or unauthorised.

7.0 Devices, Systems and Networks

Users are responsible for making sure that any device used to access Flowly is secure and suitable for use with the platform. This applies whether the device is owned by the user, their organisation or another authorised party.

Users must:

  • Keep devices used to access Flowly protected against unauthorised access;
  • Use up-to-date software and security protections where reasonably available;
  • Avoid accessing Flowly from devices, systems or networks they know or suspect to be insecure;
  • Take care when using public or shared networks;
  • Make sure confidential information is not visible to unauthorised persons;
  • Protect any Flowly content downloaded or exported from the platform;
  • Avoid connecting unauthorised tools, software or systems to Flowly where this could create a security risk.

Users must not use Flowly in a way that bypasses, weakens or interferes with security controls. This includes any attempt to access unauthorised areas, disrupt platform performance or compromise customer data.

Any suspected device compromise, unauthorised access, malware issue or network-related security concern affecting use of Flowly should be reported promptly.

Users are responsible for protecting devices and working environments used to access Flowly, including taking reasonable care to prevent unauthorised viewing, access or use of customer information.

8.0 Prohibited Content and Activities

Users must not use Flowly to create, upload, store, share, transmit or manage content that is unlawful, harmful, abusive, discriminatory, obscene, fraudulent or otherwise inappropriate for a professional platform.

Flowly must not be used to infringe intellectual property rights, breach confidentiality obligations, impersonate another person, misrepresent authority, or distribute content that the user does not have the right to use.

Users must not use Flowly to support illegal activity, harassment, exploitation, spam, phishing, malware distribution, unauthorised data collection, or any activity intended to deceive or harm another person, organisation or system.

The platform must not be used in a way that could damage Flowly’s reputation, compromise customer information, interfere with platform security, or place unreasonable demand on the service.

Flowly may remove or restrict access to content, suspend functionality or take account-level action where prohibited content or activity is identified or reasonably suspected. The action taken will depend on the nature of the issue, the risk involved and any legal, security or operational impact.

9.0 Automated Use, Scraping and System Misuse

  • Users must not use automated tools, scripts, bots or similar methods to access Flowly in a way that is not authorised or that places unreasonable demand on the platform.
  • Flowly must not be used to scrape, harvest, copy or extract data from the platform except where this is expressly supported by Flowly’s available features or agreed in writing.
  • Users must not attempt to probe, test, scan or bypass Flowly’s security controls without prior written permission. This includes activity intended to identify vulnerabilities, access restricted areas, interfere with system behaviour or disrupt normal platform operation.
  • The platform must not be used to overload infrastructure, manipulate usage limits, interfere with other users, or connect unauthorised systems in a way that could affect service availability, security or performance.
  • Flowly may restrict automated activity, block requests, suspend access or take other account-level action where system misuse is identified or reasonably suspected.

10.0 Intellectual Property and Third-Party Rights

Users must only upload, share or manage content through Flowly where they have the right to do so. This includes any creative assets, files, project materials, contracts, comments, images, video, audio, documents or other content added to the platform. Flowly must not be used to infringe another person’s intellectual property rights, breach licence terms, misuse confidential material or distribute content without the required permission.

Where content belongs to a third party, the user is responsible for making sure they have the necessary rights to use that content within Flowly.

Flowly may remove or restrict access to content where it reasonably believes that the content infringes another person’s rights or breaches this policy. Flowly may also suspend or restrict an account where repeated or serious infringement concerns are identified.

11.0 Usage Limits and Fair Use

Users must use Flowly within the limits of their selected subscription plan and in a way that does not place unreasonable demand on the platform.

Flowly may apply limits to storage, uploads, file sizes, account activity, workspaces, users, features or other aspects of the service. These limits may vary depending on the plan selected and any usage terms shown at the point of purchase. Users must not attempt to bypass, manipulate or avoid usage limits.

Where usage is excessive, abnormal or likely to affect platform performance, security or availability, Flowly may contact the account owner, restrict certain activity, require a plan change or take other action under its Terms of Service.

Fair use requirements apply even where a specific numerical limit has not been stated. Users must not use Flowly in a way that disrupts the service.

12.0 Reporting Misuse or Security Concerns

Users should report any suspected misuse of Flowly, unauthorised access, security concern or breach of this policy as soon as reasonably possible. Where Flowly receives a report, it will review the concern and take appropriate action based on the nature and seriousness of the issue. This may include restricting access or taking action under Flowly’s Terms of Service. Users should not attempt to investigate or resolve security concerns in a way that could create further risk.

13.0 Breach of this Policy

Flowly may take action where a user breaches this Acceptable Use Policy or where Flowly reasonably suspects that the platform is being misused.

The action taken will depend on the nature and seriousness of the breach. Where a breach creates legal, security, operational or reputational risk, Flowly may investigate account activity and preserve relevant records. Flowly may also contact the account owner, affected users, payment providers, law enforcement or other relevant parties where appropriate.

Repeated, serious or intentional breaches may result in permanent account termination. Any unpaid fees or other obligations owed to Flowly will remain due unless Flowly confirms otherwise in writing.

14.0 Review and Updates

Flowly may review and update this Acceptable Use Policy from time to time to reflect changes to the platform, its services, security requirements, legal obligations or acceptable use standards.

The latest version of this policy will apply from the date it is made available, unless a later effective date is stated. Users are responsible for ensuring that their use of Flowly remains consistent with the current version of this policy.

Continued use of Flowly after the updated policy takes effect will be treated as acceptance of the revised policy.
